Use Proxy and Set an Appointment

Making and Viewing GroupWise Appointments
for Department Resources:
Conference Room, Department Calendar, Laptops, and LCD Projectors
1. Open GroupWise.
2. Click on "File" and then scroll down until you see "Proxy" and click on it.
3. Click on the address book icon; it looks like an open book under the "Name:" box.
4. Select "Novell GroupWise Address Book" next to the "Look in:" box.
5. Find the following resources in the "Look for:" box:
  • Ento-Conf_Room
  • Ento-Dept_Calendar
  • Ento-Laptop
  • Ento-Laptop2
  • Ento-LCD
  • Ento-LCD2
  • PPath-Laptop
  • PPath-Projector
  • PPath-Conf_Room594
  • PPath-Lab_Room295
  • PPath-Class_Room187
6. Click on each resource to highlight it and make sure it appears in the "Look for:" box. Click on OK. Repeat this step until all of the resources are found.
7. The list of the resources you just selected should appear in the box under "Proxy list:" in the Proxy menu box. Click on OK.

You can now use the resources from the list; double-click on a resource name and you have proxy access to make and/or view appointments.

• Speical Note for Ento-Dept_Calendar: The Ento-Dept_Calendar resource is set up so you may only view the calendar and/or attachments relating to a specific date. Only the resource managers can add/edit information on the Department Calendar.

Click on "New Appt" in the GroupWise Toolbar and proceed to make an appointment for the resource.

• Special Hint: Before making an appointment for the resource, check the resource's calendar to make sure the date you need is open.

The resource name (e.g. Ento-Conf_Room, ...) appears in the "To:" box by default. Press the TAB key to advance to the next input box.

• Special Hint: Add your own email address in the "To:" box the same time you are reserving the resource so all of the meeting information you enter for the resource will be added to your personal calendar.

11. Click on the calendar icon next to the "Start date:" box to pick a date. Click on the link, "Recurring Date," to pick more than one date.
12. Click on the clock icon and select a block of time. The "Duration:" box will automatically fill in the time if you use the clock icon.
13. Add information about the place and subject. Please type a meaningful subject in the "Subject:" box. If this information is skipped, nothing will show up about the appointment on the calendar except for the time.
14. Add message information in the message box. Type in your name, location of meeting, your phone number, and any other contact information.
15. Click on the paperclip icon on the Toolbar to add attachments (i.e., meeting agenda, handouts, etc.).
16. Click on "Send" and the appointment gets sent to the resources inbox. If you have added you own email address, an appointment is also sent to your inbox.
17. The resource manager will accept or decline your appointment for the resource. The only reason an appointment would be declined is if the resource already has been reserved by someone else for the same time you requested. Please check the resource's calendar before sending an appointment. Resource managers are listed below:
  • Janet Deutsch, Room 436B: Ento-Laptop, Ento-Laptop2, Ento-LCD, and Ento-LCD2
  • Helen Thompson and Jim Butts, Room 237: Ento-Conf_Room and Ento-Dept_Calendar
  • Andy Shultz, Room 436B: PPath-Laptop, PPath-Projector
